How to Receive a Package from a Courier: A Proper Step-by-Step Guide
Receiving a parcel is not just a formality — it's an important step where you take full responsibility for the condition of the goods. You can detect and promptly record any possible damage or shortages when the parcel is handed over from the courier.. Failing to follow the correct procedure may leave you unable to raise a claim later, so it's essential to treat the process with care and attention.
This guide will help you receive your parcel correctly, avoid any unpleasant surprises, and protect your rights if needed.
The Golden Rule for Receiving a Delivery
Before signing any documents, always check the parcel for damage. Never sign the delivery note without first inspecting the parcel, especially if you have any doubts about its condition. This inspection must be carried out in the presence of the courier or a representative from the delivery company.
Signing the delivery note without inspection implies your full acceptance of the parcel’s condition and contents. Once signed, any claims for missing or damaged goods will automatically be rejected, even if the issue is discovered later.
To receive your parcel correctly, simply follow a few straightforward steps:
Visual Check
When the parcel arrives, carefully inspect the packaging. Depending on the size, this should take no more than 1–2 minutes but can help you identify visible damage. Look out for:
- punctures or holes;
- signs of resealed or tampered tape;
- broken or missing seals;
- any other signs of external damage.
Important: just because the outer packaging appears intact, that doesn't guarantee the contents are undamaged. This is especially relevant for high-value or fragile items. We recommend opening the parcel and checking the contents on the spot.
If the courier refuses to allow the parcel to be opened, make a written note of this on the delivery paperwork.
Key Points to Bear in Mind When Accepting a Parcel:
1. If possible, take photos or video footage during the handover — this may help to document any damage that might not be obvious at first glance.
2. If you notice anything suspicious (e.g. resealed tape), request to open the parcel in the courier’s presence.
3. If any items are missing or damaged, a written report must be completed, signed, and stamped by the courier or delivery company representative.
Checking the Contents of the Parcel
1. Prepare your phone to take photos or video of the the unboxing process. Record everything from the moment the parcel is opened to the final inspection of the contents.
2. Compare the contents of the parcel with the invoice:
-. check that the number and names of the items match the paperwork;
- confirm that all listed components (accessories, manuals, etc.) are present.
3. Check the condition of the goods:
- carefully open the packaging using suitable tools to avoid causing damage;
- examine each item thoroughly for scratches, cracks, or other defects;
- if possible, carry out a brief test to check if it functions correctly.
4. If anything is damaged or missing, contact your account manager immediately and attach clear photo or video evidence to your claim.
Proper check of your parcel protects your interests. A few extra minutes can save you time, money, and frustration later. Follow this guide to ensure your delivery process is smooth, safe and fully within your control.
